Show Information

Please take note of the following information; it will help answer a lot of questions typically asked prior to the show. Our Association abides by the Royal Agricultural Society of New Zealand Rule. (RAS), except to any extent as they are modified or varied by the Associations own rules as 
set out below. For a full set of RAS Rules and By-Law regulations please contact the secretary.

COMPLETION OF ENTRY FORMS
• All entry forms must be signed, legible, have required certificates attached, entry forms calculated correctly, and subscription paid if a member. Incorrect entry forms will be returned for correction.
• Confirmation letters will be sent after processing, it is your responsibility to check the details, are correct and advise the secretary prior 12th of February 2010 of any errors.

ENTRY CLOSING DATES - Closing dates for all sections are as follows;
• Friday 12th February 2010 : Horse & Pony, Cattle, Sheep & Dog Sections.
Late entries will be accepted with a 50% penalty of total entry fee, for the above sections, only until 20th February 2010, no entries accepted after this date. Late entry forms will be returned.
• Friday 12th February 2010 : Photography, Cookery, Home Produce Needlework, Handcrafts & Knitting, Wine and Woodskills Sections.
• Entries on the day: Farm Produce, flowers & Children’s Sections.
• No entries accepted without payment of fee for any sections

MEMBERSHIP
• Exhibitors aged 17 years and over must pay full entry fees unless members. Exhibitors under 17 may claim discounted entry fees on their parent’s membership.
• Members Subscription; Annually $20.
• Members will receive a family gate pass, all other persons will be admitted to the show grounds upon paying the usual admittance fee, whether exhibitors or not.
• To become a member please forward $20.00 with entry fees.

PRIVACY ACT
• By completing an entry form or trade site application the competitor/ exhibitors accepts that their details may be made available to the media for promotional, programme and/or result purposes.

GRAND PARADE
• The Grand Parade begins at 2.00 pm [approx] on show day, all place winners are expected to parade. Any Horse & Pony and Cattle prize winners not taking part in the Grand Parade may have their prize money forfeited.

PROTESTS
• All protests must, be in writing, and lodged, up to one hour after the Judges have made their decision. A deposit of $50 must be made, which will be returned if the protest is sustained. No protests will be received later than one hour after the prize tickets are affixed. The committee, or not less than five members thereof, shall decide all protest as soon as practicable, and there shall be no appeal from their decision.

TROPHIES AND PRIZE MONEY
• Trophies must be returned to the show office on the morning of the show, or at an earlier date as agreed with the secretary or a committee member.
• It is the responsibility of the Trophy winner to get the trophy engraved.
• Trophies or special prizes may be substituted by sponsors.
• All prize money will be paid on show day.
• To each class of Sheep, Cattle, and Horse & Pony, two prizes may be awarded. When there are seven or more entries in one class, third prize money may be paid to the value of half of the value of second prize.
• To each indoor class, three prizes may be awarded, third prize may be paid to the value of half of the value of second prize.
• NOTE: SOME PRIZES MAY BE EXCHANGED FOR A DIFFERENT VALUE WITHOUT NOTICE

CANCELLATIONS AND REFUNDS
• No refunds will be given for classes not entered on the day. Substitution of another animal will not be permitted without the consent of the stewards and notification of the office. If an animal is scratched due to illness or injury, entry fees will be refunded to 80% on receipt of a vet certificate and letter requesting a refund.
• The Association shall not be liable to the exhibitor for any compensation whatsoever as a result of the cancellation or postponement of the show.
• The association reserves the right to combine, split or delete classes according to entries received.
• All exhibits must be on the show grounds and ready for judging at the time stated in the schedule, any exhibits not ready will be liable for disqualification.
• All Exhibitors compete at their own risk
Horse and Ponies may compete in more than one class but any or all such classes may be judged simultaneously at the convenience of the judges or steward, in all such cases exhibiters must elect which class to compete in. The Association will not refund entry fees in this case.

EQUESTRIAN REGISTRATIONS
• If you are required to supply NZEF registration number/s and haven’t done so yet, please unsure you have contacted the secretary and advised details prior to the show.
• Where registration is required for eligibility please state registration number and society on entry form.
• If a winner of a registered class is subsequently found not to be registered with the appropriate society they will forfeit the award.
• Proof of registration must be produced on show day if requested by steward, chief steward, or judge.

BACK NUMBERS
• These will be supplied from the shed at the bottom of the hill. Never wear a back number that is different to that on your confirmation letter unless approved by steward and office is notified. 

FORBIDDEN SUBSTANCES TESTING
Use of tranquillizers, stimulants, or any drug capable of affecting the performance of horses or ponies is forbidden. Random forbidden substances testing may be carried out at any time that during the show in accordance with RAS Rule 55A and the NZ Equestrian Federation, testing is at 
the owner’s risk. Any competitor who had administered to their horse or pony any drugs within 7 days prior to the show is required to notify the Show secretary before competing. Testing will be carried out under 
the RAS Forbidden Substance Judiciary Committee procedures and rules. A compulsory drug testing levy of $1 is charged per horse.

GUIDELINES FOR ENTERING SADDLE EVENTS
• Open Classes: All horses and ponies may enter, including novices.
• Novice Classes: A Novice is a horse or pony which has won 0-5 first in conformation classes, at any A&P Show, at the time of the show.
• Once a horse or pony has had 6 wins, it is not eligible to enter novice classes.
• Hacks: Any ladies hack class wins count as an open conformation class.
• Novice champions are not eligible for open championships unless they have won their open class, nor are they eligible for Supreme Award.
• If a novice entry has gained 6 wins before the day of the show, the competitor must advise the secretary and may change to an open class, or if no class remains to enter, a refund will be actioned at such time as the show committee decides.
• All horses must be named.
• No ponies are allowed in any horse classes unless stated.
• In all rings first prize winners only are, to parade for champion. The second placed animals are to stand by for reserve champion.
• The wearing of a hard hat is compulsory for anyone competing on, working in, schooling, riding or for any other reason tending a horse on the show grounds.
• All riders 16 years and under must wear protective headgear, this includes a retaining harness secured to the shell at more than 2 points. Such headgear must be worn with the chin strap property adjusted and fastened when in the arena or ring, the practice area, collecting rings or 
anywhere else within the show grounds.
